Eligibility & Licences
A full drivers licence must be supplied at the time of caravan collection.
Drivers who have been involved in two accidents or more in the past three years should advise us at the time of booking.
Guests wishing to self-tow must be over 21 and under 70 years of age, in good health, and have held a full driving licence valid for caravan towing for at least one year.
If you are unable to meet our criteria we will still refer to our insurance company to check if they will offer insurance cover. If agreeable then potentially the deposit/insurance excess may be increased by the insurer in some circumstances.
Vehicle Collection & Return
The hire period normally starts at 3.00pm daily, excluding Sundays and Bank Holidays and terminates on the agreed day for return at, 11am for guests returning to our site, or at 10.00am where we are collecting the caravan. Earlier or later collection times and weekend collection may be arranged depending upon availability.
A valid driving licence and utility bill must be shown (or copies be emailed to us), by all Hirers and/or potential drivers who will be towing one of our caravans upon collection. Furthermore, the following documentation will need to be produced at the time of caravan collection:
- Driving Licence
- Tow car insurance certificate & Tow car V5 registration document
- Utility bill or similar as proof of address
- If travelling abroad, a Breakdown & recovery services policy
Insurances & Deposits
All of our caravans are comprehensively insured by the Company. The Hirer is responsible for the excess of £350 for caravans. In the event of any damage, including loss of or damage to equipment (including awnings), damage to tyres, mirrors, and lights or windows, no matter how caused, during the period of hire, the cost of repair will be deducted from the security deposit.
For self-tow caravans, it is your responsibility, as Hirer, to inform your own insurance company that you intend to use your car for towing as the third party risk in respect of the caravan. Which must, by law, be covered by the Insurance Company of the vehicle that will be towing the caravan. A current Certificate of Insurance for your tow car must be produced at the time of caravan collection. The Hirer’s personal property is not covered by the Company’s Insurance.
No Smoking laws
It is an offence for the Hirer to smoke, or allow anyone to smoke, in any of our caravans or awnings. Signs displayed in each caravan make this clear. If the Hirer returns a caravan and/or awning in which smoking has occurred this will result in the loss of all the deposit paid to cover the costs of taking the vehicle and'or awning out of service for fumigation or cleaning.
Every effort is made to ensure that our caravans are perfectly satisfactory for the purpose of hire and in a safe and roadworthy condition when it leaves Company premises. The Hirer is responsible for notifying to the Company any fault as soon as it becomes apparent in order that the Company may make reasonable efforts to perform its obligations under the hire contract. The Company will only accept liability for reasonable expenses occurred by the hirer where these conditions are complied with. In these circumstances instructions for the necessary repair or the purchase of replacement faulty parts at a cost not exceeding £50 may be given by the Hirer who will be reimbursed after presentation of receipted invoices. Approval from the Company must be obtained in respect of repairs or replacements in excess of £50.
The Company can accept no liability for accommodation charges, replacement caravan costs or other claims arising from an accident or other causes.
All accidents should be reported immediately.
Limitations, Liabilities and Cancellations
The Hirer shall not:
- Tow the caravan at a speed in excess of the legal speed limit.
- Allow the caravan to be towed by any other person except authorised members of his own party who possess a valid driving licence and who are eligible to tow/drive.
- Lend or hire the caravan to a third party.
The Company reserves the right to:
- Make reasonable changes to the rates and conditions of hire at any time and substitute another caravan or cancel the hire in the event of:
- a) A caravan being returned damaged resulting in its unsuitability for hire. b) The late return by a previous hirer.
- In this circumstance, the layout of the caravan may change and the Company accepts no responsibility or liability in this instance.
- Refuse a hire to any individual who is reasonably considered unsuitable to undertake the hire. In such circumstances the intended Hirer shall be entitled to request a refund of monies paid, which will not be unreasonably withheld by the Company.
Should the Hirer cancel their booking, the Company will endeavour to re-let the vehicle and, if successful, the amount paid will be refunded less an administration charge of £72.
If we are unable to re-hire then a sliding scale of charges apply:
- More than 42 days prior to your commencement date will result in a forfeit of £300.
- Between 42 and 29 days prior to your commencement date will attract a charge of the equivalent of 60% of your total hire fees.
- Between 28 and 0 days prior to your commencement date will attract a charge of the equivalent of 100% of your total hire fees.
It is the responsibly of the hirer to arrange holiday insurance. Please ensure any policy taken includes a potential cancellation. Hirers are strongly advised to obtain their own insurance cover to safeguard against such losses.
Rear Number Plates for Caravans
Current legislation requires specific documentation, such as driving licence and tow-vehicle registration document, to be produced by the Hirer.
We are able to offer caravan delivery and collection services. Please just contact us for details and prices. When caravans are reserved and the Company arranges to deliver the caravan to a particular site or event at an additional cost to the Hirer, this is deemed to be two separate contracts. In the event that, prior to delivery, the Hirer wishes to cancel the delivery services or the event is cancelled by the organisers then no delivery charges will be levied by the Company. The caravan booked will remain exclusively allocated to the Hirer unless cancelled in writing by the Hirer. In this event our usual cancellation policy will apply.
Full payment is due at time of booking. A £250 (£350/£550 for festivals) security deposit for insurance purposes can be either paid at the time of booking, or at a later date, but no later than seven days prior to your first day of hire. If the security deposit is not paid on time, then a caravan will not be supplied to you and you will forfeit your booking payment. The security deposit is then returned to you after your last day and after a satisfactory check for condition and cleanliness has been completed.
Deposits are refunded in full provided that the caravan is returned clean, undamaged and on time. Unemptied toilets will be charged at £50 for emptying and cleaning, if the cassette is allowed to overflow then a further £100 will be deducted from the damage deposit with no exceptions. Refunds are paid after cleaning (charged at £22.50 per hour) and an inspection of the returned vehicle, but within fourteen days of termination of the hire. Any items that have been damaged will be charged at cost plus £22.50 administration fee. Any damage to awning poles will result in the entire frame being replaced at the cost of the Hirer. Refunds would usually be made by bank transfer after receipt of Hirer’s banking details.
Call out charge
The Company will endeavour to help fix any issue over the telephone, however if we are called back out to the caravan for any reason that is a result of user error, then The Company reserves the right to charge £22.50 per hour and a £0.70p per mile fuel cost. Two gas bottles are supply with every caravan and if one runs out then it is the responsibility of the Hirer to change the gas line to the other bottle.
